Trade Fair and Stand Photography in Madrid for International Exhibitors

TKM Photo photographs trade fair stands for exhibitors from outside Spain, mainly at IFEMA MADRID. Tarik Kaan Muslu, a Madrid based commercial photographer with 18 years of work behind him, covers your stand architecture, products, team, visitors and meetings, from the empty stand on build days to the last hour of the fair. You brief us in English or Turkish, and Spanish coordination with the organiser and the venue is handled on site when needed. The working rules come from IFEMA MADRID's own documents: the photographer enters on a pass from your exhibitor allocation, works inside your stand and arrives with the safety equipment the build days require. Coverage is booked in three fixed packages, with an edited selection delivered the next working day.

What we cover

Stand architecture and product. The whole stand, its materials and lighting, product displays and the details your designers care about.
The empty stand before opening. Clean architectural pictures on the last build day or in the window before the halls open, before visitors and brochures arrive.
Build up. The stand going up, for your stand builder, your records or a post before the fair opens.
Team and visitors. Your staff at work, visitors at the stand and product demonstrations.
Meetings. Client meetings, handshakes and signings on the stand.
Product launches. Presentations and unveilings held on your stand.
Video, optional. Short clips and interviews on the stand, kept within the sound limit at the edge of the stand and quoted as a separate line.
Drone, outdoors only. Aerial views of the open air areas of a venue, only where the venue authorises it, flown under AESA operator registration. IFEMA MADRID does not authorise drones inside its covered halls, so high angles indoors come from lenses, lifts or a vantage point the organiser allows.

How the photographer gets in

At IFEMA MADRID the photographer an exhibitor hires works inside the space assigned to that exhibitor, and the pass comes from the exhibitor, not from press accreditation. In practice:

A personalised pass. The photographer enters on an exhibitor pass issued in their name from your allocation. If your allocation is used up, extra passes are bought by the exhibitor at the rate the fair sets: FITUR 2027 charges 21,60 € plus IVA per day, and Fruit Attraction 2026 charges 20 € plus IVA. That cost is paid to the fair, not to us.
Build and dismantling days. IFEMA's General Participation Rules make a helmet, a high visibility vest and safety footwear compulsory, and every company working on the stand on your behalf completes an online occupational risk prevention and coordination form (PRL/CAE) before the build starts. We bring our own protective equipment and send the form in advance. Some fairs issue no separate pass for build days, so we confirm with the organiser how the photographer enters before the shoot is booked.
The venue rules. Light stays inside the stand, tripods and bags stay out of the aisles, and nothing outside your stand is photographed without the other exhibitor's agreement.
Insurance. Civil liability insurance is included on every assignment, and the certificate is issued on request.

Packages and prices

Three packages cover most stands. Each price is for one photographer on one fair day.

Every package includes a short planning call, one photographer, colour, light and perspective correction, high resolution and web size files, a download gallery, travel within Madrid and to IFEMA, and a selection of 5 to 10 edited photos the next working day, counted within the total. Use for your company's own corporate communication and promotion is included. Photo ranges assume the stand is photographed together with people and activity; for empty stand architecture only, the delivery list is agreed separately.

Extras:

Same day preview during the fair: 120 €, 5 to 10 photos, delivery time agreed at booking.
Longer coverage: move up to the next package, or a separately quoted extension with a defined scope.
Second and further fair days: each day is booked as its own package.
Outside Madrid: travel and, when needed, accommodation are quoted separately before booking.
Photographer's pass: provided by the exhibitor, who pays any extra pass fee directly to the organiser.
Extensive compositing and advanced retouching: quoted separately.

All prices exclude IVA. The full edited set is delivered within 5 working days of the last shoot day.

Invoicing companies outside Spain

Invoices are issued from Spain. The VAT treatment for a company based outside Spain is confirmed at quotation stage, before you book.

Where we work

IFEMA MADRID is our home venue. Fira Barcelona, Feria Valencia and other Spanish venues are covered on request, with travel quoted as a separate line, and we check the rules each venue sets for hired photographers before we quote. Before Madrid, Tarik photographed trade fair stands in Turkey; the method is the same, applied to the written rules of each Spanish venue.

Working with us

Crew: Standard crew is one photographer. A second photographer, a drone pilot or a lighting assistant are added by scope and quoted per line, so you can see what each one costs and decide whether the shoot needs it.
Booking and rescheduling: A non refundable booking fee reserves the date and is credited against the final invoice. Rescheduling is free more than 72 hours before the shoot. Weather is never charged: if conditions make the work impossible we move the date at no cost. If we cancel, the booking fee is refunded in full.
Licensing: Retail and brand work includes a broad commercial licence in the fee, because those images are made to be published. Industrial and architectural work is quoted with a licence line of its own, since the same photograph can serve an internal report or a global campaign and those are not the same thing. The parameters that set it are the territory, the duration, the media, and whether third parties such as suppliers or architects may use the files.
Insurance and site access: We carry civil liability cover and work with our own PPE, and the certificate of coverage is issued on request. Site inductions, safety briefings and access paperwork are handled before the shoot day rather than at the gate.
Delivery and retouching: Final delivery runs 5 to 10 days after the shoot, in web and print resolutions, unless the service page or the quotation states a different delivery time, which then applies. Standard colour and perspective correction is included. Object removal, compositing and other advanced retouching is quoted separately, per image.
Confidentiality: We sign your NDA. Where a project is confidential, nothing from it appears in a portfolio, a case study or a social post, and that holds after the work is delivered and paid.
